The Holiday Planner (Figure 1) is used to manage holidays.

Should you require to re-arrange or approve holidays, you need to be set as Holiday Administrator (Figure 2) in the staff list, this can be set in permissions.

The start date for your holiday year can be set in Global Settings>Plan>Calendar. You may wish to set this to the start of the calendar year or the start of your financial year.

You should also make sure that all public/statutory holidays are entered (Figure 3 – Holiday Settings) and that the types of holidays (e.g. business trip, maternity leave, etc.).
The number of days holiday entitlement can also be set here (which will apply to all staff) and can be set individually for staff members, whose entitlement differs from the office standard, by entering the number of days in the Staff List under Working Hours and Holidays.
Non Administrator
If you are not a Holiday Administrator you can create new holiday (Figure 4 – New Holiday) requests for yourself, there are also a few things you cannot do:

- You cannot view the holiday details of other staff members.
- Approved requests cannot be changed unless you are a Holiday administrator.
- You cannot request holidays prior to the current date.
- You cannot request holidays where the total number of holiday days in the current year would exceed your entitlement.
You can create a holiday for yourself by either selecting via right click the New holiday menu item or by double clicking on the holiday chart in the row alongside your name.
Administrator
If you are a Holiday Administrator you can schedule holidays for other staff as well as yourself, approve holidays, rearrange or delete holidays that have already been approved, schedule holidays prior to the current date (you may wish to do this when starting to use the holiday planner for the first time to record holidays already taken during the current holiday year), schedule holidays that would exceed a staff members entitlement.
You can create holidays for yourself and other staff members by double clicking on the holiday chart in the row of the staff member you want to create the holiday for.
You can open existing holidays by double clicking on them in the holiday chart (Holidays that require approval are displayed in pink) and you can then approve them (if they have not already been approved) and/or change the holiday details including deleting it.

Via the Holiday Administration (Figure 5) section, you can :
- Add Days in Lieu Entitlement
(Any holidays requested with the Holiday Type “IN LIEU”, will be deducted from Carry Over Entitlement)
- Add Carry Over Entitlement
(Any holidays requested with the Holiday Type “CARRY OVER”, will be deducted from Carry Over Entitlement)
- Update Staff Entitlement
- Add Public Holidays

Note: Anyone who has used the old style holiday planner, may have to add Carry Over and Days in Lieu Entitlements in order to correct holiday calculations.
